This program has two uses.  It can be used to locate a property while the prospective tenant is in your office, or on the phone, and which meet their requirements.  It is also used to produce a handout of selected properties which are, or will be, vacant at some future date.  If the program's Use Lease End Dates box is checked properties with tenants whose lease (fixed term tenancy) runs out on or before the Required Date will be included.  Unticking the Managed Only checkbox will include non-managed properties which fall within the search criteria.  To force any property, irrespective of their vacant managed status, to be included check the [Details] > Advertise this property checkbox.  This may be accessed from the Properties main screen > [Details] button or by clicking [Add] (plus sign) on this report Navigator Bar.

This program can be used to locate a property while the prospective tenant is in your office and which meet the prospective tenant's requirements.  It is also used to produce a handout of selected properties which are, or will be, vacant at some future date.  Additional properties will be included in the search results if the property [Details] > Advertise this property box is checked irrespective of their vacant managed status.  If the program's Use Lease End Dates box is checked properties with tenants whose lease (fixed term tenancy) runs out on or before the Required Date will be included.

It does not locate properties becoming vacant, or with leases expiring, after the Required Date.  The Properties menu > Reports > Property Vacancy will find future dated vacancies and short untenanted periods.

Only properties becoming vacant on or after the Ignore if vacated before date will be found.  This date provides a time window allowing you to include only recently vacated properties and ignore properties which were vacated some time ago and are not likely to be re-tenanted.  The prior period defaults to three months prior to today's date but may be set to any prior date you like after which it will creep forward from that date day by day.  For example, if today's date is 12 August, the "Ignore if vacated before" will default to 12 May, tomorrow it will be 13 May and so on.  

When the program starts, all managed properties which are vacant "today" and which were vacated on or after the Ignore if vacated before date will be displayed in black and any property with the Advertise this property box checked, vacant or not, will be displayed in red.  Modify the search criteria to suit then press Search to start a new search.

To display or print the property details and photographs for an individual property select it in the grid then click [Details].  Pressing [Print] will print the Properties to Rent report for all highlighted grid items.

The results displayed in the usual grid or table format may be printed for use as an "available properties" handout by clicking the Print button.  Among the other information printed can be the data entered in the Properties > Details > Teaser Header and Properties > Details > Public Remarks which are part of the property information on the Properties > Details >Remarks tab.

The latter may be limited to print only the first line of the Public Remarks if this is desired by setting the option on the  Setup menu > Company Details > Report Options tab.

When planning advertising and so on
, by clicking the Print button.  Properties not wanted on the report may be deselect by double clicking the unwanted lines making the text "non-bold".  Right-mouse click the grid for bulk deselection and selection.

The heading section of the report may contain one line of "general information" such as "See our website   www.asldemorealty.co.nz  for photos."

The Description column of this report prints the Properties > Details > Teaser Header and Properties > Details > Public Remarks.  The latter may be limited to print only the first line of the Public Remarks if this is desired by setting the option on the  Setup menu > Company Details > Report Options tab.

Suggestion
Create a Portfolio called "Casual To Let" or similar.  When a landlord asks you to tenant, but not manage, their property, enter both the landlord and property details into the system and assign them to this portfolio.  Use Search with Managed Only unticked and select just this portfolio for list of all available casual lets to use for reference or as a handout.

When the property is let by you, simply change the portfolio to "John's Casuals", complete any missing details and add the tenant.  If let by another agent either delete the property and landlord or assign the property to another "Casuals that got away" portfolio.
